Monthly Report Auto-Delivery for n8n | Accounting
The monthly report is the touchpoint clients actually notice — and the one that quietly slips when you're busy. Industry surveys show technology now takes around 21% of accounting-firm budgets, yet month-end reporting still means building, formatting, and sending the same summary by hand, client by client. Monthly Report Auto-Delivery generates a clean, branded profit-&-loss summary for each client and emails it for you, on schedule, every month. It's two n8n workflows on one Google Sheet, with your firm's name, logo, and colours. What's inside 2 ready-to-import n8n workflows: Report Generator — on a monthly schedule, it pulls each client's numbers, builds a branded HTML report (revenue / net profit / gross-margin tiles + a P&L summary with month-on-month change and a commentary line), emails it, and logs that it was sent. Delivery Monitor — flags anything that didn't go out: unsent, failed, or clients with no email — so a missed report never goes unnoticed. Three ways to feed the numbers (pick what fits your stack): Default — Google Sheets: type or paste each client's monthly figures into a Financials tab. Works for everyone, needs no extra service, costs nothing. Optional — QuickBooks Online or Xero: pull the profit-&-loss automatically. These routes ship pre-wired on the canvas but disabled; you enable one and connect your account. Honest detail: n8n's built-in QuickBooks/Xero nodes don't expose P&L, so these use an HTTP Request node against each provider's official P&L report API — the only way this actually works. The guide explains the setup. A Google Sheets template spec — Clients, Financials, and Delivery Log tabs with samples. A step-by-step setup guide — including the data-source options above and the PDF note below. An optional AI commentary mode — off by default. With your own OpenAI key it writes only the short commentary line from the numbers; it never rewrites the report, and it falls back to a rule-based comment if the call fails. Your licence file. About PDF — straight answer: by default the report is sent as a branded HTML email plus a matching .html attachment, because reliable PDF generation isn't something stock n8n does well. If you need true PDF files, the guide shows how to add a free self-hosted converter (Gotenberg) as an optional step. We tell you this up front rather than pretend the box makes PDFs.How it works Import the two workflow files into your own n8n. Copy the sheet template and enter this month's figures in Financials (or enable QBO/Xero). Connect Google once (Sheets, Gmail); connect QuickBooks/Xero only if you enabled that route. Fill one Configuration box: firm name, logo URL, brand colour, currency, Sheet ID, schedule. Test with your own email, then flip Active. Reports go out each month automatically; the monitor watches for gaps. Requirements An n8n instance — n8n Cloud or self-hosted. Verified to import on n8n 2.28. A Google account — spreadsheet + Gmail. No extra subscriptions or hidden costs on the default Google-Sheets route. Optional: a QuickBooks Online or Xero account (only if you want the numbers pulled automatically); an OpenAI API key (only for the AI commentary line); a self-hosted Gotenberg instance (only if you need true PDF); Slack (only if you want failure alerts in Slack). FAQDo I need to know how to code? No. You fill in a settings box and enter numbers in a spreadsheet. The QuickBooks/Xero and PDF options are follow-the-steps setups, not coding.Does it make real PDFs? By default it sends a branded HTML email with a matching .html attachment. True PDF is an optional add-on via a free self-hosted converter — the guide walks you through it.Do I need QuickBooks or Xero? No. The default route just reads a Google Sheet. QBO/Xero auto-pull is optional and covers the P&L report only.Is AI required? No. The report is fully rendered without it; AI only writes the short commentary line if you switch it on with your own key.n8n Cloud or self-hosted? Either. Note that the optional Gotenberg PDF step needs somewhere to run it, which is easiest when self-hosting.Refunds? Refunds follow Gumroad's standard buyer policy.Licence: for use inside your own firm, including client work. Customize freely.
